  Fund Raiser Service Activity Checklist

   
  Definition of a hands-on service activity: A hands-on service activity involves volunteer labor to develop or improve something for an identified recipient. Financial assistance is provided to purchase necessary materials used in the activity to help an individual, family, congregation or qualified not-for-profit organization.
   
 
If you are doing a hands-on service activity, answer the following:
_____ 1.   What type of service activity will you do?
_____ 2.   Where will the service activity be held?
_____ 3.   What is the date/time of the service activity? Be sure to consider alternate plans for rain or unexpected situations that may occur.
_____ 4.   What arrangements need to be made for the location (i.e., reserve hall, tables, chairs, food, etc.?
_____ 5.   What tasks need to be done?
_____ 6.   Will you have shifts for volunteers? If yes, how many shifts are necessary? How many volunteers are needed for each shift?
_____ 7.   Make a list of materials needed.
_____ 8.   Are donated items needed? If yes, what items are needed? Who will solicit for these items? (link to donation form - Members/Chapters, Chapter Resources)
_____ 9.   Do you need to purchase any items? If yes, what items are needed? Who will purchase these items? (Keep track of expenses, save receipts.)
_____ 10.   Create communications/promotion plan
       
 
One day before the activity
_____     Arrange to have someone take pictures at the activity. Have a sign posted saying the pictures may be useful for publicity purposes.
_____     Create a sign-in sheet for volunteers (indicate if Thrivent Financial member and number of volunteer hours).
_____    

Check supplies. Do you have enough? Is anything missing? (Example: For park clean up, you will need rakes, gloves, bark, sun screen, collection bags, etc.)

_____     Verify funding has been secured.
       
 
Following the activity
_____     Thank volunteers (verbally, send e-mail or thank-you note, provide online recognition certificate - print hardcopy or send electronically).
_____     Pay bills and reimburse expenses, if any.
_____     Report activity and send funds and receipts to chapter leaders.
_____     Chapter presents recipient with finished product (if any). Consider if you or other community service team members want to be involved in the presentation. The chapter leadership board may also decide to involve one or more financial representatives or Lutheran Community Service team members to take part in the presentation

Hard at work! Volunteers freshen up the paint on Marander House, a retreat center at Lutheran Outdoor Ministry Center in Oregon, IL.

Activity included building picnic tables, trail blazing, painting, deck repair and cleaning, washing windows, replacing gutters and much more.
